The structural mismatch

Wave 1 was file-share. Wave 2 was the agency's copilot.

Wave 1, 2018-2022: Notion, Asana, Basecamp, Teamwork, Wrike, Productive, HoneyBook all built "client portals." File shares with login boxes. The client could see deliverables and pay invoices. The work itself stayed in the agency's workspace.

Wave 2, 2023-2025: every one of those tools added an AI copilot. Notion Ask Notion. ClickUp Brain. Slack AI search. Productive AI Search. Wrike AI highlights. HoneyBook drafting. Each copilot answered questions of the agency's data, in the agency's workspace, for the agency's owner. The client got nothing new.

Wave 3 is the client seat. The marketing leader opens her own surface. Asks her own questions of her own data. Approves her own work without scrolling someone else's task list. That's what Next Best Action is.

The portals aren't bad tools. They do what they were built for. Project management software manages projects. Document tools manage documents. Internal-team copilots help internal teams.
